Write a Notice People Can Act On

Put essential event details where a glance can find them.

The reading problem

Put essential event details where a glance can find them.

A concrete example

A library room notice should reveal what is happening, when, where, and whether someone must respond. A cheerful introduction can follow those facts, but should not make the time hard to find.

Try this edit

Draft a four-line fact block: event, date and time, location, action. Then add context only if it changes attendance or preparation. If a fact is undecided, say so rather than inventing it.

Proof on the page

Lay out the library-room notice in four visible lines: “Reading group,” “Thursday, 6:30 pm,” “Ground-floor library room,” and “Reply to the organizer by Tuesday.” Read only those lines with the introductory paragraph covered. If the event is still understandable, move the social context below them and give it a comfortable paragraph width.

Where the method stops

Time zones, accessibility arrangements, and changes of venue may matter to this audience. Do not omit them merely to keep the notice short. If a room is not confirmed, label it “venue to be confirmed” and name where updates will appear. An attractive arrangement must never make uncertain details look settled.

One final check

Review the notice at phone width and on a printed page. A date that wraps away from its time can make the event harder to scan.
